The automation plugin is designed to automate workflows, change user identification to make your work easier, automatically create cards, and if you are a developer, you can write additional code for yourself and control automating your service desk using custom workflows and rules.

The automation feature allows users to automate repetitive tasks by setting Triggers and creating Actions if the trigger conditions are met. The current version automated workflows using existing erxes features such as Contacts, Forms, Team Inbox conversations, Team Members, Deal/Ticket/Task Cards.
The Automation plugin is available at erxes marketplace for all users when you get started with erxes. It comes for free as it’s one of the settings plugins erxes provides.
⚙️ Self-hosted client, please go to the plugin installation documentation to install the Automation plugin after installing the erxes XOS.
💻 SaaS clients, when you sign-up for the erxes Automation plugin, will be there already, so just follow this guideline to get started with this plugin.
How automation appears
Step one. Create Automation
Select Automation tab
Step two. In the pop-up window, click + Create an automation
Step three. In this section, you can set up to view general information about your automation
- Title
- Actions: Make automation connections
- Histories: View the history of when automation has worked
- Add a Trigger: Add a trigger which cases to automate
- Add an Action: Here you can set the action to be automated for that trigger
- Save a Template: Save that automation
Step four. Create the trigger for automation
Click on Trigger
Step five. Choose your trigger type
Step six. If you want to automate the form, click Leas Based and select Form submission
Step seven. Choose which form fields to count when filled out
Step eight. Select the segment you need from the segments that appears. Choose "is set" as long as it is filled in.
Step nine. After that, click Apply Filter to check whether the count is correct with Refresh count.
Step ten. Click on the Save button
Step eleven. The resulting trigger looks like this:
Step twelve. Double click on Trigger again.
Step thirteen. Select Re-enrollment and check the 2 required fields
This operation must be done after saving the trigger once.
Step fourteen. Select an automation action by clicking + Add action
Step fifteen. If Create Task is selected, set which board, pipeline, and stage to enter.
Step sixteen. When the card is filled in, choose what information will be filled in the Attribution section.
Step seventeen. After that, click Save to connect the Trigger to the Action
Step eighteen. Switch to Active from Inactive in order to get your automation active
Step nineteen. Click on the Save button
Step twenty. The created automation looks like this:
Step twenty one. Test the automation you created.
