DESCRIPTION

Campaigns are a combination of marketing, sales and support projects which allows you to generate new business or to connect with your existing customers and potential clients (leads). Campaign gives you the ability to track your base and their responses all while analyzing how well its performing.

BENEFITS

Auto campaign

Send out mass Emails, Messenger, and SMS to your targeted customers/leads/employee automatically at a scheduled time or some triggered actions they take. Chosen segments for the customers will be updated automatically, and you may pause the automated campaign at any time.

Manual

Campaign Allows you to send out mass emails only once to the targeted customers/leads/employee.

Visitor Auto Message

Visitor Auto message is displayed for unregistered users or new visitors viewing your website or integrations.

HOW TO SET UP

The Campaign plugin is available at erxes marketplace for all users when you get started with erxes. It comes for free as it’s one of the core plugins erxes provides.

⚙️ Self-hosted client, please go to the plugin installation documentation to install the Campaign plugin after installing the erxes XOS.

‍💻 SaaS clients, when you sign-up for erxes the Campaign plugin will be there already, so just go along with this guideline to get started with this plugin

Creating your campaign

The Campaign can be found on the left-hand side of the screen when you enter erxes. By selecting the pin, you will be able to place the sign on the plugin's bar visible.

 

Prerequisite.

Before you start creating your campaigns you need to make sure you have completed your brands & channels

To efficiently manage your customer communications when you have several brands and team units like departments or products/services operating in your organization, you need to create brands and channels dedicated to those separate units.

  • Brands are usually linked to the source of communication channels dedicated to products and services.
  • Channels are usually linked to group team members dedicated to particular channels like Sales, Marketing, etc.

To execute the campaign, you must make sure you have chosen your target segments on the Segment plugin & prepared the email/message/SMS content in the Email template Plugin.

 

Step one. Plan your campaign.

This sounds simple enough but usually requires the most amount of thought. What are your campaign goals? Do you want to increase lead generation, send out many holiday cards, promote a new product or service, publicize a webinar, or just stay in touch with your inactive customers?

 

Step two. Determine how to target the campaign.

There are four main groups you will want to target: existing customers, prospective customers (leads), visitors, team members, or a combination of all. The goal of the campaign will determine which group you target. erxes allows for the easy creation of lists based on the target group and any criteria you choose, such as industry, geography, or title.

Once you have determined the target groups, you can use the standard and custom fields on the Segment plugin to track this information.

 

Step three. Prepare the email/SMS/message content you want to send to your target segments.

Whether you decide to do an onboarding sequence for your new clients or one-time Christmas greetings to all your customers, part of a successful campaign is to compose the content that fits your drive. You can manage your content instantly while you're creating your campaign, or you can prepare the template beforehand using the Email template plugin.

 

Step four. Execute the campaign.

Now that you have determined the target, it is time to execute the campaign.

  1. Choosing the type of your campaign.
    • Email.
    • Message.
    • SMS.
  2. Select the target group you're intended to execute the campaign.

    Message types:

    • Segment.
    • Tag.
    • Brand.

    Segment types:

    • Lead.
    • Customer.
    • Company.
    • Deal.
    • Task.
    • Ticket.
  3. Compose your campaign.

    Title: to name the campaign internally to recognize.

    From: email/SMS campaign sent from.

    Sender:

    Reply to: email/sms if your campaign expects the feedback.

    Email subject: email subject.

    Email template: to choose from your templates prepared.

    Attachment: to attach the additional material.

    Sent to the following email to test: before going live.

  4. Preview your composed content.

    Preview your campaign content on different devices provided.

  5. Submit your campaign.

    Press Send & Live. Woohoo, you did it! Or You can save it as a draft for later.

 

Step five. Track responses

Before tracking responses, you will need to determine what responses you require. You can regularly follow your responses through 3 kinds: auto, visitor auto, manual, and all statuses: live, draft, and paused.

  • If your campaign points the recipient to your web page, you can set up a web-to-lead form on your page that customers can fill out. Then you can track all the triggered events to the number of completed forms.
  • They are then automatically created as a lead and added to the campaign of your choice. This is the easiest way to track responses, as it is automatic. This is how you can follow your manual campaign responses.
  • If you are tracking your new customer onboarding sequins, you may have to check the software renewal percentage as well as the numbers of your customer inquiry.
  • If your responses come in individually, like phone calls or emails, you can manually create the new lead and then manually associate it to the proper campaign or update the status of a pre-existing campaign member. This can be the most time-consuming, so you may want to look at mass uploading or mass updating.

 

Step six. Analyze campaign effectiveness.

Right on the campaign detail page, you can track the total sent and responded, the total contacts and leads, the number of converted leads, the totally open and won opportunities, and the total value of open and won opportunities.

If the campaign is a parent in a campaign hierarchy, you can also see the above statistics for all child campaigns on the parent campaign page.

erxes also includes standard campaign reports such as email analysis, customer response, and more. These can be customized to fit your needs, and after customization, they can be used for campaign dashboards that can tell you at a glance how all of your campaigns are doing and how they stack up against each other.
